About The Project
Overview
The ProX Hiring Fair is the largest recruitment event within ProX, a workforce development initiative connecting high school students across the Greater Kansas City region with paid professional internships. The event brings together students, employers, parents, coaches, and community partners in a high-stakes environment where meaningful opportunities are created in real time.
As part of the communications team, I owned the content strategy that carried participants through the entire hiring fair experience, from registration through event-day preparation to post-event follow-up. Every touchpoint had to do its job: get the right person to the right place, prepared for what was coming next.
The Challenge
The Hiring Fair represented a pivotal moment in the ProX experience. For many students, it would be their first professional interview, first interaction with a hiring manager, and first opportunity to compete for a paid internship.
Success depended on more than attendance. Students needed to arrive prepared, employers needed clear expectations for engaging with young talent, and parents, coaches, and facilitators needed a shared understanding of the process.
The challenge was to turn a complex, multi-stakeholder event into something clear enough for a first-time student, busy employer, and anxious parent to each find their footing.
My Role
The Hiring Fair only works when hundreds of people share a clear understanding of what comes next. I owned content development and participant communications for the event, creating the content, guidance, and communication systems that helped students, employers, families, and staff navigate and participate successfully.
-
I developed the event's core messaging and participant-facing narrative that gave students, employers, families, and program staff a shared understanding of the Hiring Fair's purpose. This messaging defined what successful participation looked like all the way through the first announcement, to the final follow-up.
-
I wrote and produced the recruitment, onboarding, and preparation materials that got students ready to interview, clear on next steps, and confident walking in.
-
I built the communications and logistical resources that supported employer partners, facilitators, coaches, and internal teams on event day, from briefing materials to real-time navigation. This allowed for every stakeholder to support students with clarity.
Content Strategy
Rather than treat the hiring fair as a single-day event, I approached it as a participant journey. The communications strategy focused on three goals:
Build Confidence
Many students were participating in their first professional interview. Communications focused on reducing uncertainty by clearly outlining expectations, preparation steps, and available support.
Increase Readiness
Content provided practical guidance around resumes, professional attire, employer research, interview preparation, required documentation, and event logistics.
Align Every Audience
Students, parents, employers, and facilitators each received varied materials, but all of it pointed back to the same expectations, timeline, and definition of success, so no one group was working off a different expectations for the event.
Mapping The Participant Journey
The Hiring Fair experience began long before students entered the room. This means that the necessary engagement to support them had to follow suit. To do this, I developed a structured communications framework that guided students and families through each stage of the process, helping them understand expectations, build confidence, and arrive prepared to engage with employers. Content spanned registration, interview prep, resumes, professional dress, logistics, and "Know Before You Go" guides, with each one built to meet students exactly where they were.
But it didn't stop there.
For event-day support and follow-up, I created participant-facing resources and event communications that helped students navigate the Hiring Fair with clarity while ensuring employers, coaches, facilitators, and staff had the information needed to support meaningful interactions throughout the day. Following the event, I developed communications that guided students through next steps, internship placement processes, and continued engagement with the ProX experience.
Designing Clarity at Scale
The Hiring Fair's complexity was never the event itself. It was making sure students, families, employers, coaches, and facilitators moved through it with the same understanding of what came next.
I built the communication systems that made that possible, translating program requirements, event logistics, and workforce development goals into content each audience could actually use.
The result showed up in the room: students engaged employers with confidence, employers connected with emerging talent on solid footing, and every stakeholder had what they needed to contribute to the program's success.
